Providence Day's summer programs registration gets a boost

3/25/11 -- Competition for summer camp enrollment can be fierce, but Magic Hour Communications gave Providence Day School a leg up in marketing its June-July programs to current families.

"On a Thursday, we sent out our Thursday Notes e-newsletter to our parents announcing that online registration for the camps was now available and by the next morning, we already had 80 hits on the new section of the site," said Beverly Shore, Providence Day's Information Manager. The Summer at Providence Day 2011 program offers academic, creative, athletic, and other enrichment programs on the school's 45-acre campus in Charlotte, N.C.

The online registration module, powered by Magic Hour's InfoServe content management system, will move Providence Day from a manually managed registration process with hand-written forms to an online system that captures all the data. In addition, Providence Day has dedicated itself to the mission of being a green school, which means that printing for next year's catalog and registration forms will be greatly reduced.

"As our Web coordinator has been saying for years, people want to register their kids online while sitting at the computer in their pajamas at 10 o'clock at night," she said. "Parents don't want to write out all the forms by hand, put them in an envelope, and trek down to the school to hand-deliver it with their check."

Another plus is that medical forms -- a critical component of the registration process for student safety -- are also filled out on the secure website, allowing the school to follow the federal HIPAA regulations that protect personal medical information.

Launched after the initial paper mailing, the summer program site will continue taking registration throughout the summer. "As long as there's an opening, we'll take registrations throughout the summer," said Shore.

For the program's administrative staff, they can generate reports with any combination of information from a real-time online database. For example, the system can generate reports that break down enrollment by each individual camp program and since it's real-time, the information is always up-to-date.
